Position Overview

Adams & Martin Group has partnered with a prestigious law firm to find an experienced Estate Planning Legal Secretary to support three estate planning attorneys. This role requires a highly skilled individual with a strong background in estate planning and exceptional organizational skills. The position is based onsite and offers a dynamic work environment with opportunities for growth.

Key Responsibilities

  • Prepare, revise, format, proofread, and finalize legal documents and correspondence with a high degree of accuracy.
  • Transcribe attorney dictation (live and digital), including correspondence and estate planning documents.
  • Manage calendars, deadlines, appointments, and reminders for assigned attorneys.
  • Handle incoming and outgoing client communications professionally.
  • Open, maintain, and organize electronic and physical client files.
  • Coordinate with clients, title companies, escrow officers, and other third parties.
  • Assist with billing support, time entries, and expense submissions as needed.
  • Prepare drafts of estate planning documents such as wills, trusts, powers of attorney, and related instruments based on attorney direction.
  • Ensure all documents are formatted correctly, consistent, and ready for execution.

Requirements

  • 10+ years of experience in estate planning (very important).
  • Excellent word-processing skills, including fast typing and proficiency in Windows 11, Adobe Acrobat, Excel, Docusign, Teams, Zoom, etc.
  • Notary credential.

Work Schedule

  • Initial hours: 8:30 a.m. - 5:00 p.m., with a one-hour unpaid lunch.
  • Flexibility: After the onboarding period, alternative schedules (such as 8:00-4:30 or 8:30-4:30 with a 30-minute lunch) may be arranged directly with the attorneys.

Compensation

  • Salary is competitive and based on experience.
  • $90,000 ideal but a higher salary will be offered to candidates with exceptional word processing and advanced document formatting skills, particularly in Microsoft Word.
